If your school would like to distribute Family Portal access codes to parents and guardians via email, first we need to get the email addresses into the Kickboard platform. An administrator will need to reach out to Kickboard Support (support@kickboardforschools.com) for a secure link where one can upload a file of parent/guardian email addresses. In order to create this file, you can export your active student roster from Kickboard (by going to Classic, then Students > Roster > Export) and add the parent emails in a comma separated list to an empty column on that CSV file. Alternatively, we can also accept any spreadsheet file includes parent email addresses aligned to the student External ID numbers as they are listed in Kickboard.
NOTE: If your school uses a family communication platform that has a secure document distribution feature (such as School Messenger or Parent Square), the PDFs of the access code letters can be distributed electronically through those platforms. Click here for more detailed instructions for that process.
Once the email addresses have been associated with students in Kickboard, then you will be able to send email notifications to family members with unclaimed accounts. The emails will look like this:
Teachers, as well as School and Kickboard Admins, will have the ability to email Family Portal access codes. You can find instructions below about how to email access codes for:
- An individual student or family member
- A whole group of students at once
- The whole school at once
1. Emailing for an Individual Student or Family Member
To email access codes for a single student, go to Classic then Students > Roster to find the student's name in the roster. For instructions on how to search and filter the student roster, click here.
Once you've found the student, click the hyperlinked text next to the student's name in the Family Portal Access column.
Note: You may see a number next to the student's access code. This indicates how many accounts have already been created on this student's portal using this access code. There is no limit to the number of accounts that can be created per access code, as long as each user is using a unique email address.
This will pull up a screen with the access code letter for that student. At the top of that screen, you will see the options to Print or Email. Click Email.
You will then see a window with the list of unclaimed family member emails for that student. Click the green Yes, Send button to send the student's access code to all the listed parent emails.
If a student has more than one unclaimed parent email but you would like to send the email notification to only a single person, close the window and click on the orange bar graph icon next to the portal access code in the student list. This will open the student's profile which lists each associated email address individually under Family Portal Access Emails. Click on any unclaimed email address to send the code to only that individual email address.
2. Emailing Access Codes for a Group of Students
By going to Classic then Students > Roster, you can email access codes for an entire group or a grade level. For instructions on how to search and filter the student roster, click here. Once the list of students is filtered to the group(s) you want, at the top of the roster click Family Portal Access, then Email Access Codes.
A window will appear that lists all the students in the selected group(s) and all the unclaimed email addresses associated with those students. Click the green Yes, send button to send the emails.
3. Emailing Access Codes for the Whole School
Administrators can also email portal access codes for the entire school by going to Classic then Settings > Site and School Settings > Family Portal. Confirm all default groups are selected, then click Print Access Codes, then click Finish and Print. Close the print window that appears and then click on the Email button at the top of the page. A window will appear that lists all the students and all the unclaimed email addresses associated with those students. Click the green Yes, send button to send the emails.
