Kickboard’s referral management system allows administrators to process student behavior referrals submitted by teachers in an efficient and transparent manner.
Accessing the Referral Dashboard
To access the Referral Dashboard as a School or Kickboard Admin, navigate to Culture > KB Next (beta). Then select the Referral tab on the left side of the page.
To access new referrals that require action from an administrator, make sure you select Action Required on the right side of the page . To see new referrals as well as completed ones, select View All on the right hand side.
Taking Action on a Referral
Referrals requiring action from an administrator will be listed chronologically with the most recently submitted first. Each referral will include details about the behavior and student associated with the referral, the staff member that submitted the referral, as well as the referral level, location, and date/time. At the bottom of each referral entry you will see the referral note that the referring teacher completed.
Once you have decided to follow up with this referral, click Take Action to open the Referral Action menu.
On the Referral Action page you have several options to take action with this referral, including:
- Assigning a consequence
- Assigning an action to a staff member
- Recording a private or official note
- Resolving or rejecting the referral
Please note: Any time a referral is updated, any staff member associated with the referral (teacher who created the referral, admin who edited the referral, staff member assigned actions on the referral) will receive an email notification of the action with a link to the actual referral.
Assigning a Consequence
Under Consequences you will have a drop down menu where you will have the option to assign the student to one of your school’s existing consequence rosters. (For more information on consequences in Kickboard, click here.) Students will immediately appear on the consequence roster with the reason listed as “Referral”.
Assigning Actions to Staff
Under Actions, you will have the ability to choose any staff member from the drop down menu to assign an appropriate follow up action. Simply type in your message of the required follow up action and click Assign.
Once you have assigned the action, your chosen staff member will receive a notification email that they have been assigned an action. In that email, they can click Open Referral to be brought directly to the appropriate referral on the Referral Dashboard and mark their action as complete.
Please note: when accessing the Referral Dashboard, staff members with a “teacher” level account will only be able to see referrals that have been submitted by them and/or been assigned to by an admin.
When the assigned referral action has been marked completed by the appropriate staff member, administrators will receive a notification email that the assigned task has been completed. You can always navigate back to the referral to see when the task when completed and mark the referral as resolved.
Adding Notes
On the referral action menu you have the ability to add 2 types of notes to the referral:
- Private Notes, which will only be viewable by staff members with the School Admin or Kickboard Admin permission level.
- Official Notes, which will be viewable by any user who has access to the referral.
To submit either a Private or Official note, simply type the note in the appropriate field and click Submit. You can always navigate back to the referral (whether it has been resolved or is still new) to see any notes that have been submitted.
Finalizing a Referral
There are two options to finalize a referral on the Referral Dashboard, Resolving the referral or Rejecting.
Please note: you can make changes to a new referral at any time without resolving or rejecting. Simply click Save and Close at the bottom of the Take Action screen to save your changes to the referral so you can come back later to make any changes and finalize.
Resolving a Referral
Once you are satisfied with the follow up for the referral, you can mark it as Resolved. Simply scroll to the bottom of the Referral Action screen and click Mark Resolved. Once you resolve a referral it will be moved from the “Action Required” section and into the “View All” section.
Please note: you can make changes to notes and assign actions for a resolved referral at any time by clicking on them in the “View All” section of the Referral Dashboard.
Rejecting a Referral
You also have the ability to reject a referral. To do so, scroll down to the bottom of the Referral Action window and select the Reject Referral option. You will now have access to a “Reason for rejection” window where you can include information on why the referral was rejected. You can then select Reject Referral to finalize.
