You now have the ability to directly import referrals submitted via Kickboard to PowerSchool SIS's Incident Management module or to import them as Log Entries, depending on the system used for reporting discipline at your school district.
If you have not yet installed the Behavior Referral Import plugin in PowerSchool SIS, please follow the directions listed here.
Accessing the Plugin
Once you have successfully installed the plugin, you will be able to access it under the Applications section of your PowerSchool SIS menu. To open the plugin click Behavior Referral Import.
The first time you use the plugin, you will need to log in by entering your Kickboard Username (i.e. your email address) and Kickboard Password. You will also be prompted to enter your domain, which is a unique identifier for your district's Kickboard account. You should be given your district's domain during implementation, but you can also email support@kickboardforschools.com to ask what it is.
Lastly, you will need to select if you want to import referrals as Incidents or Log Entries. Our preferred option is Incidents to take advantage of PowerSchool SIS's Incident Management tools. But if your district requires reporting discipline using the Log Entry method, you should choose that option.
Note for Log Entries: There are additional steps required to configure the plugin for log entries. Please refer to the note at the end of the installation instructions for more information about these additional steps.
Importing referrals
Once you open the Behavior Referral Import, you will be brought to the Kickboard Data Sync page where you will have the ability to choose which behaviors referrals to sync to PowerSchool SIS and which to exclude.
On this page, you will see all of the referrals that have been submitted by school staff via Kickboard. You can filter this data by teacher, group, or behavior using the dropdown menus at the top of the page. You can also choose to sort the data by clicking on any column header (i.e. teacher last name, behavior name).
Once you have decided which referrals you would like to sync to PowerSchool SIS, select those referrals by checking the box to the left of each entry. Then, at the bottom of the screen, select either Sync Kickboard Data to import the referrals or Exclude from Sync to remove the referrals from the table and not import them into PowerSchool. Selecting Exclude from Sync does not delete the referral in Kickboard. Selecting this option will only exclude it from being imported into PowerSchool.
Note: Syncing referrals may take up to a few minutes. Do not close the page while loading or you may risk losing data. To avoid long wait times, we recommend setting up a daily or weekly routine of processing referrals in PowerSchool.
Accessing Referrals in Incident Management
To access your synced referrals, select Incident Management under the Functions menu in PowerSchool SIS.
On the Incident Management page, you will have access to all of the incidents submitted to PowerSchool including your Kickboard referrals.
Kickboard-submitted referrals will always be listed under the incident type Teacher Referral. To filter your incidents to only your Kickboard Referrals you can use the PowerSchool filter tool and select Incident Type and Teacher Referral, then, click Apply. This will hide all other incident records. To see more information for an individual referral, you can click on the referral title or ID (you will notice this page does not have personally identifying information for students).
Clicking on an individual referral will bring you to the Incident Detail page. Some information including Date, Time, Title, Description, Location Description, and Prepared By will be automatically mapped to the incident record based on the information included in the referral submitted via Kickboard. This information can be modified at any time.
By scrolling down, you can add more information to this incident. The Offender field will automatically be mapped based on which student the referral was submitted for on the Kickboard app. You can also input information for Reporters, Victims, and Witnesses. To save any changes you have made to the incident, click Submit Incident.
Accessing Referrals in Log Entries
Referrals imported to Log Entries will appear in PowerSchool SIS on the following day after the import occurs.
To access a Log Entry record imported from Kickboard, first you must search for and select the student in PowerSchool SIS, then under Administration select Log Entries. Click on a record in the list to open the Log Entry.
In the fields identified by your district configuration, you should see the basic referral information from Kickboard including date, time, teacher, description. You can fill out any other required fields to complete the Log Entry record in PowerSchool SIS, then click Submit to save the updated record.
