SIS Sync: Setup - Custom Build Option

1. Contact the Kickboard Customer Success team to enable the SIS sync. We will turn it on from our end and provide you with the SFTP credentials you will need on the Student Information System side.

2. Build a comma-separated file saved as "students.csv" with the following fields, in the following order. The first row is assumed to be the column header and is skipped during processing.

Student Roster

  • SIS student ID number (this corresponds to the student's external_id in Kickboard)
  • Student is Active (1 = active, 0 = inactive) Please note that if your file includes only active students, this will deactivate any active students in Kickboard who are not found in the incoming file.
  • Grade Number (1 = first grade, etc. use 0 for Kindergarten, -1 for Pre-K)
  • SIS School ID (This MUST correspond to a school external_id in Kickboard - see last screenshot, below)
  • First Name
  • Last Name
  • Middle Name (this column is required, but the values can be empty as this column is not parsed by Kickboard at this time)
  • Guardian First Name (this column is required, but the values can be empty as this column is not parsed by Kickboard at this time)
  • Guardian Last Name (this column is required, but the values can be empty as this column is not parsed by Kickboard at this time)
  • Gender (this column is required, but the values can be empty as this column is not parsed by Kickboard at this time)
  • Phone Number (this column is required, but values are optional. multiple numbers can be included as a comma-separated list and *are* parsed into Kickboard)
  • Secondary Phone Number (this column is required, but values are optional. multiple numbers can be included as a comma-separated list and *are* parsed into Kickboard)
  • Tertiary phone number(this column is required, but values are optional. multiple numbers can be included as a comma-separated list and *are* parsed into Kickboard)
  • Date of birth (YYYY-MM-DD)

3. Utilize your Student Information System's Autosend option if available, or write a script to send this file to Kickboard's SFTP server using the login credentials provided by Kickboard. Upload the file to the root level of this server.

4. Once you've gone through the process listed above, your Kickboard Admin will login to Kickboard and go to Settings > SIS Roster Sync.

Make sure the SIS System is "Other" as this is the file format you've generated. Please note that while some labels state "Only for Infinite Campus", these settings are in fact supported for all SISes.

Review the Process Schedule time and the file names. If you want to change the scheduled time or the file name so it matches what is coming from your Student Information System, click the red Delete button and re-create the sync.

We recommend you upload your file to us one hour before the time you select to process, to allow the upload to finish well before the processing occurs.

Time selected is in your installation's local timezone.

5. Once the schedule is set and the file names are matched, go to Settings > Schools > click the edit pencil for your school and enter your Student Information ID in the External ID field. Once this is saved, your sync is all set!
